Scenario
The staff at a major hospital, including physicians, nurses and technical personnel, was interacting and sharing information with each other through their smart phones. The hospital facilitated email system was left unused. The smart phone medium, an informal communication channel, was used for following up on patient care, synchronizing tasks across shifts and conducting other everyday activities.
Problem
The hospital provided in-house email system was underutilized as employees would require access to a workstation, which couldn’t be provided for all the staff members. The few workstations that were available were placed at nursing stations or specialty centers, for instance, radiology departments. Using smart phones for everyday communications was a lot more practical.
The hospital’s in-house email system was inflexible and was one component in a larger facility management system. Its inherent capabilities were not suitable for crisis time communication. As a result, the system’s features and functionalities were gradually losing relevance.
While smart phones facilitate a stopgap solution, the management team still lacked visibility and control over the data that was being shared through these channels. For instance, there was no way to know for sure that a system wide notification was received by key personnel or not. And all the executives, especially those in charge of mission critical activities, might not be able to confirm receiving specific messages or tasks during a crisis scenario.
Solution
A secure emergency communication solution can solve this problem. Smartphone apps with the necessary authorization can be used efficiently while attending to patient needs. Simultaneously, predefined templates for specific alert notifications and workflows can process information to provide insights. A hospital wide emergency warning mechanism can also be facilitated to notify key staff and employees.
